AM Session: Fundamentals of Dental Recordkeeping

Description:
Professional, legal and ethical responsibilities require that dentists maintain complete records documenting all aspects of the patient’s dental care. The chart “tells the story”, beginning with the patient’s medical and dental history, continuing through diagnostic procedures and diagnosis, consent to treatment and treatment plan, and on to progress notes and referral documents. Charting is, quite simply, part of care. The RCDSO’s Dental Recordkeeping courses offer practical advice for understanding the dental recordkeeping requirements in Ontario and how to incorporate them into daily practice.
Learning Objectives:
By the end of this session, participants will be able to:
- Explain the six components of a patient record that must be included to satisfy professional, legal and ethical expectations for documentation.
- Describe the content that must be included in each of the areas of the patient’s record.
- Identify opportunities to strengthen their own practice and apply the fundamental principles of dental recordkeeping required to demonstrate they are practicing to the standard of care.
PM Session: To Code or Not to Code: Common Coding Misconceptions Revealed

You’re not alone, let us help you navigate the ODA Suggested Fee Guide with confidence. This course is designed to help dentists follow best practices when selecting accurate procedure codes by exploring key aspects of the Guide, demonstrating how to avoid common coding misconceptions, and when to use a Standard Dental Claim Form. The course will also highlight how carriers use claim analytics to identify trends and flag potentially problematic procedure codes.

By the end of this session, participants will be able to:
- Interpret key elements of the ODA Suggested Fee Guide—such as notes, the memorandum, and procedure code descriptions—and apply this understanding to accurately select procedure codes
- Identify common coding misconceptions reinforcing the importance of accuracy when using the ODA Suggested Fee Guide through real-life scenarios encountered in dental practices
- Highlight patterns and trends in coding behaviour that may flag carrier analysis and how to respond when you receive an audit
- Differentiate between intentional and unintentional coding errors and understand their potential consequences
- Apply critical decision-making in the selection and use of procedure codes to support compliant and responsible billing practices.
